Kaplan students (except waivered courses) within the school campus are required to have their Student Access Card (SAC) with them at all times. The SAC serves as a form of student identification, is used for class attendance, and allows access to our library for browsing, loaning and returning of library books.
Please note that SAC is not transferable and has to be returned to Kaplan upon completion/withdrawal.
Should there be any changes to students’ or their parents’ particulars such as home address, telephone number, email address or any related particulars, students are required to update these details via the Kaplan 360 mobile app. Credentials to access the Kaplan 360 app will be sent to them in due course after their programme officially starts.
Students who have yet to receive their login credentials may inform their Programme Consultant/Programme Management team of any changes in writing. Failure to update Kaplan of their personal contact details may result in Kaplan not being able to reach and inform students of any changes to the programme such as timetable, examination, etc.
Kaplan will not be responsible for any delay or loss of information, caused by the student’s lack of updates on their contact details.
Kaplan sets the policy for student attendance and monitors it as it is fundamental to successful learning. For this reason, Kaplan takes a serious view of truancy. The attendance policy is set in the Academic Policy, where the minimum monthly attendance to be attained is 75% for non-Student’s Pass holders; and based on the Immigration and Checkpoints Authority’s requirement, Student’s Pass holders must maintain a minimum attendance of 90% per calendar month of study. Failure to meet the required attendance will result in disciplinary actions.
The attendance policy and procedures are communicated to students during the Welcome Orientation (WO) session and reiterated by the Programme Management (PM) team in the Programme Update sent via email and/or the Kaplan 360 app. Students will receive the timetable prior to term commencement where all the lesson dates are clearly stated. PM will also conduct regular visits to monitor the class and remind students of the importance of attending classes.
Implementation of Attendance Taking
Students are required to physically tap in and out their Student Access Card (SAC) on the card reader located in every classroom for each lecture/tutorial session in the presence of the lecturer. The first tap should be within 15 minutes from the start of class, and the second at the end of class.
Students who miss the first tap are considered late. Similarly, students who miss the second tap are considered as leaving early. It is the responsibility of students who did not bring their SAC to approach their lecturers for marking their attendanc
The lecturers may conduct random attendance checks and report to PM for students who are frequently absent from classes.
If students are absent with valid reasons, students should apply for leave via the Kaplan 360 app within 3 working days, with supporting documents.
All full-time students are encouraged to commit to engaging in study activities for a minimum of 3 hours per day, 5 days per week (Mon-Fri). In addition, Student’s Pass holders are required to comply with this by tapping their attendance on-campus. Different learning activities including lectures, tutorials, research, self-study and group activities have been planned for different days.
Implementation of Attendance Monitoring
Weekly attendance tracking is done to intervene at appropriate points of the attendance monitoring process. Actions taken include sending written notifications via different platforms like email and the Kaplan 360 app, phone calls made to students with low attendance (thresholds defined by the different PM teams), face-to-face counselling sessions with students and with their parents/guardians for certain cases, getting students who are repeatedly absent to sign a Letter of Undertaking, speaking to classmates of students to enquire on their whereabouts and gain additional information, notifying the Country Manager in charge and seeking their help/agent’s help to locate the student, etc. Besides this, some other necessary actions include making a police report for Student’s Pass holders who are absent continuously for a period of 7 days, etc.
Monthly attendance tracking aims to intervene through a formal warning letter issued to students, and the interventions done on a weekly basis as described above.
Students who do not attain the minimum attendance for the first time will receive a warning letter via email.
If the attendance for the following month is still below the minimum requirement, a second warning letter will be sent to the student concerned. This would be accompanied by at least a phone call from the PM team and other intervention measures as described above
If the attendance for the subsequent month is still below the minimum requirement, a third warning letter will be sent to the student concerned. Meanwhile:
- ICA will be informed (for Student’s Pass holders) separately.
- Students will be sent for counselling with the Programme Management team and where applicable, the Student Counsellor.
- Students or their guardian (for students below 18 years) will sign a Letter of Undertaking.
- The Programme Management team will closely monitor the minimum attendance requirements for students taking the exam. In accordance with the respective Academic Policy of the programme that the student is pursuing, he/she may not be allowed to sit for the examination and may need to repeat the module.
No Improvement after the Third Warning
If attendance continues to fall below the minimum requirement after the third warning, a student may be terminated according to the Termination Policy and a formal termination letter issued to the student. Students may appeal to the Appeals Committee regarding the circumstances leading to the termination in accordance with the Termination Policy.
For Student’s Pass holders, Kaplan will request ICA to cancel the Student’s Pass accordingly.
Holistic attendance monitoring takes the following into consideration – students’ academic performance, students’ personal circumstances and record of misconduct, if any, in the case of any disciplinary or termination action arising from the tracking of students’ class attendance. Academic advice will be given accordingly and if required, a formal academic intervention/review session will be scheduled for students and the academic-in-charge.
The minimum monthly attendance to be attained is 75%.
Students who do not attain the minimum attendance for the first time will receive a reminder via email and/or in person.
If the attendance for the following month is still below the minimum requirement, a second reminder will be sent to the student concerned. Meanwhile, the Programme Management team may meet him/her for counselling.
If the attendance for the subsequent month is still below the minimum requirement, a third reminder will be sent to the student concerned. Meanwhile:
- Students will be sent for counselling with the Programme Management team.
- The Programme Management team will closely monitor the minimum attendance requirements for students taking the exam. Where applicable, student will not be allowed to sit for the examination and will have to pay the remodule fee and repeat the module with the next immediate intake.
No Improvement after the Third Warning
If attendance continues to fall below the minimum requirement after the third reminder, a termination letter may be issued to the student. Students may appeal to the Appeals Committee regarding the circumstances leading to the termination.
If a student is absent from class due to reasons stated below, he will need to submit a leave application, with supporting documents in English, via the Kaplan 360 app to the Programme Management team within 3 working days from date of absence. If leave applications cannot be made via Kaplan 360 for certain reasons, students may approach the Programme Management team for the official Leave Application Form.
Kaplan will approve the leave application for the following reasons, subject to minimum attendance requirement with official documented evidence. Other grounds for absence will be treated on a case-by-case basis.

International students who apply for overseas leave will need to submit the following as supporting documents.
- Medical Certificate from home country doctor (if applicable) with English translation
- Printscreen of Airline’s return E-Ticket or picture of Boarding Passes
As part of Kaplan’s commitment to maintaining and improving the learning experience, there will be a feedback exercise in the form of an evaluation conducted online or via a physical evaluation form at the end of each module. The feedback will evaluate:
- Academic staff performance i.e. quality of teaching
- Adequacy, accessibility and quality of teaching-learning resources and the school environment
- Assessment methods and frequency
- Physical facilities and infrastructure
- Standard and quality of student support services
- Programme management support
- University partnership
- Overall student satisfaction
Students are encouraged to provide constructive comments and feedback for the purpose of further improvement on the programme. The students’ feedback data helps Kaplan to monitor various departments & respective lecturer performance and to provide adequate and accurate information for the Academic Review and Academic Board in order to take any necessary action for improvement. Students’ specific information will not be made known to the lecturers.
In addition, students can also provide their feedback anytime during the course to the Programme Management team or directly to email@example.com. Where applicable, students’ comments and feedback obtained will be discussed with the academic staff and lecturers, and action will be taken accordingly.
